This Privacy Policy explains how Rini Speech Technologies Pvt Ltd(“Rini”, “we”, “us”) collects, uses, and protects your information when you use the Rini transcription service. We process personal data in accordance with India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”) and other applicable law.

1. Information we collect

  • Account information — your name, email address, and authentication details.
  • Content you upload — the audio and video files you submit, and the transcripts generated from them.
  • Payment information — processed by our payment provider; we receive transaction records but not your full card details.
  • Usage data — logs, device and browser information, and how you interact with the Service, used to operate and improve it.

2. How we use your information

  • to provide transcription and related features you request;
  • to process payments and maintain your credit balance;
  • to secure, maintain, and improve the Service;
  • to communicate with you about your account and support requests;
  • to comply with legal obligations.

We do not sell your personal data. We do not use the content of your recordings to train models without your explicit, separate consent.

3. Processing and transfers

Your account and job data are stored in the [ap-south-1 (Mumbai)] region. Transcription may be performed using speech-recognition infrastructure operated by our affiliate, Instaword, which may process audio outside India. Where personal data is transferred outside India, we do so as permitted under the DPDP Act and with appropriate safeguards. By using the Service you acknowledge this processing.

4. Retention and deletion

We retain source media only as long as needed to provide the Service; by default, uploaded media is deleted after transcription unless you choose to retain it. You can delete your transcripts and your account at any time. Some records may be retained where required by law.

5. Your rights

Under the DPDP Act, you have the right to:

  • access and correct your personal data;
  • request deletion of your personal data;
  • withdraw consent;
  • nominate another individual to exercise your rights; and
  • raise a grievance (see below) and, if unsatisfied, approach the Data Protection Board of India.

6. Security

We use reasonable technical and organisational measures — including access controls, encryption in transit, and scoped, time-limited upload links — to protect your data. No method of transmission or storage is completely secure.
